Team Rubicon needed a robust volunteer management system (VMS) to quickly stand up relief efforts around the world. Nothing on the market could fit its complex needs, so it pursued a custom solution.

The Challenge

Team Rubicon needed a VMS to help it track and match thousands of volunteers, manage equipment, train and onboard new volunteers, and measure the dollar-for-dollar impact of donations. No VMS on the market was a perfect fit, so Team Rubicon partnered with Microsoft and Wipfli to build a custom solution.

The Solution

Using Microsoft Dynamics 365 Common Data Model for Nonprofits as a foundation, Wipfli created a unified system for Team Rubicon’s operational data. It uses artificial intelligence to determine the logistics of equipment, match volunteers for relief assignments and rapidly plan deployments. Wipfli also trained Team Rubicon staff to use the new platform and helped manage the massive organizational change.

Team Rubicon was able to support 140,000 volunteers, join forces with five organizations and deliver over 1.6 million vaccinations.

The results

The custom VMS brings disconnected systems and processes together so Team Rubicon can respond faster and save more lives around the world. And it gave the nonprofit a foundation to stand up a new program to fight COVID-19. When the pandemic threatened lives in the U.S., Team Rubicon’s volunteer force teamed up with five other veterans nonprofits to establish vaccine sites and help them operate at max efficiency.
