In a previous post, we discussed four other free Microsoft Dynamic 365 (D365) Tools for Administrators that are designed to make their job easier. Below, we have continued this by providing you with five more free tools that administrators can utilize to more effectively manage the Microsoft Dynamic 365 system for their organization.
Top Tools for Microsoft Dynamic 365 Administrators:
1-4. View the first four here.
5. XrmToolBox - Access Checker
6. XrmToolBox - Attribute Bulk Editor
7. UDS Storage Analyzer
8. Ultimate Workflow Toolkit
9. Level Up for Dynamics CRM/365
5.) XrmToolBox - Access Checker
Have you ever needed to quickly identify the security permissions that one of your users has for a specific record in D365 to troubleshoot an issue? The Access Checker plugin tool, available in the XrmToolBox which can be downloaded here, helps Dynamic 365 administrators identify that information with minimal effort. After connecting to your D365 system using the XrmToolBox you can use the Access Checker to:
- Select the entity (record type) using the ‘Retrieve entities’ button.
- Select the specific record using the ‘Search’ button.
- Select the user using the ‘Browse’ button.
You can then use the ‘Retrieve rights’ button to view the user’s rights for the specific record. If the user has access the privilege box will light up as green, and if they do not have access the privilege box will light up as red.
6.) XrmToolBox - Attribute Bulk Updater
Also available in the XrmToolBox, the Attribute Bulk Updater allows system administrators to change the attributes of fields in Microsoft Dynamics 365 in bulk. For example, by using this tool system administrators can efficiently enable fields for auditing and set the requirement level for fields, all in one update.
7.) UDS Storage Analyzer
Whether you are approaching your data storage limit or are simply looking to analyze what data is occupying the most space in your Microsoft Dynamics 365 system, the UDS Storage Analyzer tool can help you effectively analyze your organization’s data. The UDS Storage Analyzer is a managed solution that can be downloaded here. After installing this solution in your Dynamics 365 system, you can click on the solution and it will query the D365 database in real-time to provide a report breaking down the total amount of storage space being occupied per entity. This generated report is a great starting point to identify where you should focus your data clean-up activities.
8.) Ultimate Workflow Toolkit
Workflows allow system administrators to automate D365 system actions; however, out of the box there are some limitations on what actions can be automated. The ultimate workflow toolkit, which can be downloaded here, extends the capability of workflows by adding additional actions that can be automated. This list includes some of the additional actions available in the Ultimate Workflow Toolkit.
9.) Level Up for Dynamics CRM/365
Level Up is an extension that can be added to your Google Chrome internet browser that allows you to perform advanced actions directly in D365. The extension can be installed here. After installation, a rocket icon will appear in Chrome. You can login to your Microsoft Dynamics 365 system and then click on the rocket to open the menu and select an action to perform. We recommend testing in a non-production environment first. One particularly useful tool in the extension is the ability to render the mobile client directly in the desktop.
