The AP manager at Grand Valley Fortifiers (GVF) was buried in paperwork. GVF used manual, paper-based processes for reimbursements and reclaimable tax calculations. Employees had to manually populate an Excel template, print cover sheets, attach paper receipts and deliver their requests to AP — where one person completed another series of manual steps to calculate reclaimable tax and enter the claims into Dynamics GP. Reimbursements took a long time, and there was little visibility into the process or how it affected bigger-picture financials.
GVF selected Concur Expense to automate its expense processes because Canadian tax rates were built into the software, and being web-based offered GVF additional convenience and flexibility. But that only solved one piece of the puzzle. Since Ontario has unique tax requirements, GVF had to calculate the portion of reclaimable tax for each expense entry. GVF chose Wipfli’s ExpenseConnect to map data to Concur and automatically calculate and allocate taxes.
Since deploying Concur Expense and ExpenseConnect, we have processed hundreds of claims with ease. What used to take eight to 12 hours is now done in 30 minutes. Not only does this allow more time for other relevant tasks, but we’ve also lowered the cost of reimbursing our employees.
AP transactions and value-added tax recovery processes that used to take 12 hours can now be completed in about 30 minutes. GVF eliminated the need to manually transfer expense claims to AP transactions in Dynamics GP. Now, GVF downloads claims and creates AP batches with little or no intervention. That frees up valuable time and allows for more efficient, lower-cost employee reimbursements.
